Personal Data Protection Policy

As İrem Dental Clinic ("İrem Dental"), we attach great importance to the security and privacy of your personal data, and we take the highest possible level of technical and administrative measures to process, store, and protect your data. Your personal data is processed in our capacity as data controller, within the scope of Law No. 6698 on the Protection of Personal Data ("KVKK") and the relevant legislation, in accordance with the principles set out below.

This Privacy Notice has been prepared in accordance with Article 10 of the KVKK. It explains in detail the methods by which and the legal grounds on which your personal data is collected, the purposes for which it is processed, to whom it may be transferred, how long it will be stored, and the rights available to you under Article 11 of the KVKK.

A note for patients visiting from the United Kingdom: as İrem Dental Clinic is based in Türkiye, your personal data is processed under Turkish law (KVKK) rather than the UK GDPR. Where we act as a joint controller with any UK-based referral partner, or where UK data protection law otherwise applies to information you provide us from the UK, we apply the same standard of care described in this notice, and you may still contact us using the details below with any request or question.

Method of Collection and Legal Grounds

Your personal data is collected by verbal, written, or electronic means, through automated or non-automated methods, via:

• Applications you make directly to İrem Dental Clinic
• Forms you complete during examination, diagnosis, treatment, and care services
• Our website
• Our social media accounts, call centre, and email communication channels
• Our camera recording systems (CCTV)
• Our financial and administrative processes (billing, insurance procedures, and similar)

Your personal data is processed on the legal grounds set out in Articles 5 and 6 of the KVKK, namely: where it is expressly provided for by law, where it is necessary for the performance of a contract, for the fulfilment of legal obligations, for the protection of public health, for the conduct of medical diagnosis, treatment, and care services, and for the protection of patient rights.

Purposes of Processing

Your collected personal data may be processed for the following purposes:

• Carrying out examination, diagnosis, treatment, and care services
• Creating appointments and handling patient registration
• Providing healthcare services effectively
• Storing medical imaging and laboratory results
• Fulfilling legal obligations and the requirements of health legislation
• Carrying out financial transactions (billing, accounting, insurance processes)
• Ensuring patient satisfaction, and evaluating surveys and feedback
• Carrying out communication activities (telephone, SMS, email, WhatsApp, and similar)
• Ensuring patient safety and the physical security of the clinic (camera recordings)
• Providing services to patients coming from abroad within the scope of health tourism
• Conducting quality improvement, training, risk management, and audit activities
• Meeting the requests of authorised public institutions and professional bodies
• Contacting patients' relatives in emergencies
• Conducting the administrative, legal, and business strategies of İrem Dental Clinic

Parties to Whom Your Data May Be Transferred

Within the scope of the KVKK and the relevant legislation, and with the necessary security measures in place, your personal data may be shared with:

• The Ministry of Health and its affiliated healthcare institutions
• The Social Security Institution (SGK)
• Private insurance companies
• The Turkish Dental Association and relevant professional bodies
• Authorised public institutions and organisations
• Legally authorised judicial and administrative authorities
• The accountancy and consultancy firms from which we receive services
• Our information technology and software infrastructure providers
• Our business partners and suppliers

Retention Period

Your personal data will be stored by İrem Dental Clinic for the periods prescribed by all relevant laws, in particular:

• Health legislation
• The Turkish Commercial Code
• The Tax Procedure Law
• Social Security legislation
• The Regulation on Personal Health Data

Once these periods expire, your data will be deleted, destroyed, or anonymised in line with our data disposal policy.

Your Rights Under the KVKK

Under Article 11 of the KVKK, as a data subject you have the right to:

• Learn whether your personal data is being processed
• Request information if it has been processed
• Learn the purpose of processing and whether it is used in accordance with that purpose
• Know the third parties to whom it is transferred, at home or abroad
• Request its correction if it has been processed incompletely or incorrectly
• Request its deletion or destruction if it has been processed contrary to the KVKK
• Request that the above actions be notified to the third parties to whom the data was transferred
• Object to any adverse outcome arising from the analysis of your data solely by automated systems
• Request compensation for any loss you suffer as a result of unlawful processing

Your applications will be concluded within 30 days at the latest, in accordance with the KVKK and the relevant legislation.
